ABOUT THE POSITION:
The SharePoint Information Administrator contributes to the implementation and adoption of Microsoft SharePoint and its connection to the electronic document and records management system (Content Manager). The role creates and maintains Museums Victoria's SharePoint information architecture, including team sites and document libraries, during the implementation of Microsoft SharePoint and thereafter, and also maintains the intranet.
The position is accountable for ensuring the stability, performance and continuous improvement of SharePoint team sites and document libraries and their connection to Content Manager, as well as the stability and performance of the intranet. Working with technical administrators, the Manager Records and Information Governance and SharePoint champions across the organisation, the role supports organisation-wide adoption of SharePoint as the new document repository during and after implementation.
The key duties include:
- In consultation with the Manager, Records and Information Governance, leading the development, implementation and ongoing governance of SharePoint information architecture (site hierarchy, navigation and metadata) and records management framework, ensuring alignment with Public Record Office Victoria standards and organisational information governance requirements.
- Creating, configuring and maintaining SharePoint team sites, document libraries and lists in consultation with technical administrators in the ICT Strategy and Delivery Department.
- Developing, implementing and maintaining SharePoint structures, workflows and configurations that enable effective records and information management in accordance with organisational policies.
- Maintaining, administering and updating the SharePoint intranet (Musenet).
- Preparing report and audit settings, monitoring performance and making recommendations and improvements to ensure ongoing compliance.
- Leading engagement with business units to design and implement SharePoint information architecture aligned with operational requirements and governance standards.
- Maintaining current awareness of Microsoft SharePoint advancements and developing and maintaining procedures and user guidance materials for staff.
- Defining and documenting functional requirements for enhancements or new information management solutions in collaboration with stakeholders and vendors.
- Leading the delivery of SharePoint information management initiatives, including system enhancements, migration programs and digital recordkeeping improvements.
- Developing and providing training and support to staff to support adoption of the new records and information management environment.
- Providing expert advice to senior management and business units on digital information management practices, SharePoint governance and informa
tion lifecycle management.
- In consultation with the Manager, Records and Information Governance, leading organisational capability development and change management activities to support adoption of SharePoint as the organisation's primary document repository.
- Assisting with migration of information from network drives to managed SharePoint team sites.
The successful applicant will have:
- Demonstrated experience administering and providing user support for Microsoft SharePoint.
- Strong understanding of SharePoint compliance settings, site configuration, permissions management, content types and metadata design, including global term store management.
- Strong understanding of records management and information governance principles, including retention and disposal, data lifecycle management and information security requirements.
- Demonstrated high-level analytical, problem-solving and research skills and their application to developing business processes in an information management environment.
- Excellent communication skills for engaging with business users and technical teams, including documentation of processes and governance.
- Demonstrated experience with change management projects involving information systems and processes.
- Demonstrated experience automating business processes using workflows.
- Demonstrated ability to work independently and collaboratively as part of a cross-functional team.
- Advanced customer service skills, including the ability to translate specialist concepts for non-technical stakeholders.
- Demonstrated experience in training staff.
OTHER INFORMATION
This is a Full time, ongoing position. The salary on offer is a VPS4.1 Base salary of $97,955 per annum (pro rata) plus 12% superannuation.
