Role
The role of the School Operations Manager incorporates two major facets that impact the ability of the school to operate effectively on a daily basis ¿ the roles of Daily Organiser, and the Timetabler. In conjunction with this, the role also involves the relevant operational tasks of VASS administration, and Compass administration covering areas of resourcing, events, learning tasks, parent-teacher interviews, timetable and rooming updates.
Daily Organiser
The purpose of the Daily Organiser is to ensure the smooth operation of the teaching day by providing for replacement of absent staff, notifying appropriate room and scheduling changes, and appointing relief staff as required.
The nature of the Daily Organiser component of this role requires the position holder to be on-call and commence work from 7:00am. The role requires the position holder to be accessible by mobile phone from 7:00am every day during school terms. Please note that work may be required to be performed from home, and may also be required to be performed outside of the normal span of hours as documented in the VGSA 2022 (7am to 6pm for ES staff). To accommodate this inherent requirement of the role, the finish times of work on site at school will need to be managed in a flexible way. In total, it is only expected that 7.6 hrs are worked each day, taking into account commencement from 7am.
Timetabler
The Timetabler is responsible for the accurate and timely production of the Geelong High School timetable. This will be achieved in consultation with relevant members of the PCO class, Consultative Committee and Learning Area Leaders.
General
The person in this position will be required to provide high level information to the Principal Team and be a pro-active member of the Operations Team.
The successful applicant will be required to have a sound analytical and organisational skills, excellent interpersonal skills and the ability to be flexible and adaptive to change on short notice. The ability to build professional relationships with a wide range of individuals will be essential. There will be a need to undertake a variety of tasks with a high level of independence, and confidence. Supervision and support are always close at hand but independent decision making within the set guidelines and procedures will be expected.
High level competency with Microsoft Excel, and a sound expertise in the specific software programs such as Compass, Edval and Edupay would be an advantage; but training will be provided to the right candidate. Training will be expected to be completed quickly and understood to a high level.
Education Support Class Level 1 Range 4
The successful applicant will be an experienced professional who will carry out their duties and responsibilities, relative to their professional discipline, with a high level of autonomy and with minimal reliance on professional supervision. The successful applicant will be responsible for the development and implementation of professional support programs within an educational environment, including guidance to other professional staff.
As an education support class position, this role supports the educational services being provided to students, but will not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic).

The position reports to the Assistant Principal ¿ School Operations, and the Business Manager.
Responsibilities
Daily Organiser
Developing processes and procedures to allocate `extras¿, `in-lieus¿ and the duties of Casual Relief Teachers (CRTs) in a fair, equitable and transparent manner
Covering classes, home groups, yard duties and other responsibilities for teachers and staff who are absent.
Developing effective and efficient processes and procedures for informing teachers on a daily basis of their responsibilities with regard to extra duties.
Liaising with teaching staff regarding work left for classes affected by teacher absences
Maintaining a flexible pool of CRTs who are available to meet the short-term staffing needs of the school.
Report and advise Principal team of any issues relating to staff wellbeing that will affect or have the potential to affect the operation of the school
Post/notify relevant areas of absent staff, replacement classes, room changes and cancelled classes
Coordinate the induction of Casual Relief Teachers (CRTs), ensuring they are familiar with Child Safe Standards, school policies and procedures, and expectations for teaching and professional practice. Monitor performance and liaise with the Principal Class team to provide ongoing support and additional inductions as required.
Raising of Purchase orders and reviewing invoices and purchase orders for Agency related work
Liaise with the HR manager to verify CRT and locally paid staff timesheets on SLP in line with Daily Org records.
Liaising with the VCE Coordinator regarding arrangements for internal examinations, NAPLAN testing, etc.
Liaising with Business Manager, Principal regarding cover for staff on extended leave of absence.
Maintain a record of staff extras using the agreed software.
Organising staffing and room bookings for special events.
Attend Geelong Operational Team meetings to assist with staffing management of excursions/activities and professional development.
Communicate expectations of teachers when leaving work for their classes and keep Learning Area Leaders informed of any issues.
Liaise with Disability Inclusion Team to cover students requiring ES support.
Support teaching staff with the preparation of staff rosters for camps, excursions, end of year programs and program supervisions providing supporting cover for these events.
Track fortnightly staffing load, ensuring that staff extras and in lieu¿s are in line with the Victorian Government Schools Agreement
Ensure changes to timetable are executed in Compass
Demonstrated ability to manage multiple competing priorities, work independently, and exercise initiative while consistently demonstrating the Department of Education values of integrity, respect, accountability and responsiveness

Timetabler
Conduct appropriate consultation the PCO team in the development rooming of subjects and yard duty rostering.
Identify and resolve timetable problems and find appropriate solutions where there are potential conflicts
Support and work with the Principal on timetable groupings, blockings, allotments and allowances.
Generate all exam schedules, including Trial Exams
VASS Administration
Liaise with VCAA, school staff and external providers regarding VASS-related matters where required.
Compass

Geelong High School is a Year 7 - 12 co-educational school located near the centre of Geelong "The City by the Bay", and adjacent to a significant parkland area. Established in 1910, Geelong High School is one of the oldest secondary schools in the region. It has a proud history, celebrating its centenary in 2010, and is held in high regard by the Geelong community.
Current enrolment is approximately 975 students, drawn mainly from the nearby areas of East and South Geelong, the Bellarine Peninsula and across Geelong.
The Leadership Team comprises a Principal, three Assistant Principals, the Business Manager, IT Manager and eleven Leading Teachers and Learning Specialists. There are approximately 120 staff, of whom 80 are teaching staff and 40 Education Support staff.
