The Department of Justice and Community Safety is seeking a Project Support Officer to provide a critical role within Emergency Management Technology
About the Business Unit
Emergency Management includes the department's emergency management accountabilities delivered through Emergency Management Victoria, Emergency Recovery Victoria, Sector Performance and Reform and emergency management statutory entities and offices. The work of the group supports the emergency management sector to work together and to strengthen the capacity of individuals, communities, government, agencies and business to achieve our shared vision of safer and more resilient communities and to rebuild and recover after an emergency.
Emergency Management Technology is responsible for national and state technology platforms that enable communications from the community, communications to the community, sector operational communications and sector information systems. This includes delivering the following key functions:
- Strategy & Enterprise Architecture
- Procurement & Program delivery
- Investment Planning
- Support & Development
- Vendor & Contract management
About the Role
Some of your duties will include:
- Manage, track and report on program finances.
- Manage and track the status of all program artefacts, ensuring all stakeholders are aware of the program artefacts that need to be developed, reviewed and approved.
- Manage and maintain program registers (including task register, meeting action registers, issues register, decision register, change log, risk register, conflict of interest register), whilst proactively streamlining processes as required.
- Engage and liaise with key stakeholders (Emergency Service Organisations, State advisors, State vendors) to ensure they are aware of upcoming scheduled program activities and their approvals where required.
- Organise and participate-in meetings, workshops, program control groups including preparation of meeting agenda, presentation material, meeting minutes and timely follow-up of action items.

About you
To be successful in this role, you will have:
- Demonstrated ‘hands on' experience in supporting the management and delivery of large-scale technology projects through the full project management life cycle.
- Demonstrated experience in providing program/project support services including financial and status reporting, project administration tasks, program register (actions, risk, issues) management and maintenance.
- Proficient in management of program/project co-ordination using Microsoft Teams, Microsoft SharePoint, Microsoft Project and Microsoft 365.
- Demonstrated experience in development of Governmental written communication such as Departmental briefs, financial reporting, program/project status reports and executi
ve briefs (will be highly regarded).
- Demonstrated knowledge of emergency services (will be highly regarded).
Qualifications/requirements
- Qualifications in Project Management (Diploma, PMBOK, PRINCE2 or AGILE) will be highly regarded.
