Reporting to the Director, Policy, Strategy & Governance, the Project Officer supports core compliance and secretariat functions. Working collaboratively across all business units, this role plays a critical part in delivering research and analysis, coordinating priority projects, and implementing fit for purpose governance and compliance processes. In addition, this role also provides specific administrative and operational support to the Melbourne Arts Precinct Transformation (MAPT) Project Team. The Project Officer will work closely with a broad range of stakeholders and have a strong written, planning and reporting focus, ensuring both the quality and timeliness of the documentation are to the highest level.
The Melbourne Arts Precinct Corporate (MAP Co) is the State Government agency responsible for overseeing the delivery of the Melbourne Arts Precinct (MAPT) project as well as the operations, programming, promotion and maintenance of Fed Square.
MAP Co is overseeing the delivery of the Melbourne Arts Precinct Transformation project that includes, The Fox: NGV Contemporary, a new gallery dedicated to contemporary art and design; Laak Boorndap, the 18,000 square metre public open space in the heart of the precinct; as well as significant upgrades to Arts Centre Melbourne and its historic State Theatre.
It also takes on the management and operations of Fed Square and is responsible for connecting a single continuous art, civic, and cultural precinct stretching from Fed Square through Southbank.
Once the transformation is complete, MAP Co will also manage and activate Laak Boorndap, the urban garden that will connect the Melbourne Arts Precinct in a seamless and immersive cultural experience.
Fed Square is the gateway to the art precinct – and as Melbourne's public square it is the civic, cultural and community heart of the city. It home to three of Victoria's major cultural institutions: ACMI – Australia's Museum of Screen Culture, the Koorie Heritage Trust (KHT) and The Ian Potter Centre: NGV Australia along with an array of restaurants and cafes. Located opposite the iconic Flinders St Station, it is Melbourne's premier meeting place, tourist destination and event venue for thousands of free events every year.

Key Responsibilities and Accountabilities (refer to the position description):
Secretariat and governance
- Deliver secretariat functions for the Melbourne Arts Precinct Corporation Board and its Committees, including through the preparation and coordination of papers in consultation with team members and project partners, to ensure materials are produced to a high standard and distributed on time.
- Provide high quality generalist support across the group as required and with limited supervision, including through the implementation of probity processes, information management, project plans and other key operational requirements.
- Draft and review key documents to ensure consistency, accuracy and presentation to a high standard.
- Support development and implementation of organisational policies in compliance with applicable laws and Victorian Government requirements.
- Lead and contribute to strategic policy and data analysis projects, potentially spanning a range of environmental, social and governance domains – and across the policy challenges of operating Fed Square as a heritage-listed, civic and cultural public space, and growing the global profile of the Melbourne Arts Precinct.
- Implement processes and initiatives across the organisation which improve the quality of outputs and ensure the timely delivery of advice.
- Develop and maintain relationships across the organisation and with project partners across Government and the Melbourne Arts Precinct, and support information flows to support effective collaboration.
MAPT Project Team Support
- Provide high-quality administrative support across the delivery team and wider group as required to support the planning and delivery of the
MAPT project. This may include:
- ensuring smooth-running of weekly activities (meetings, engagements, and events)
- Drafting, reviewing, and editing key documents and correspondence to ensure consistency, accuracy, and presentation to a high standard.
- Contributing to the enhancement and maintenance of the records management system used across the project.
- Develop and maintain relationships across the project, and with external stakeholders, and ensure appropriate informational flow to support the work of the Melbourne Arts Precinct Transformation team.
- Actively contribute to the development of a positive and high-performing team culture, including by identifying and implementing opportunities to improve teamwork practices.
Key Selection Criteria
- Strong Communication and Collaborative Skills: Excellent communication and collaboration skills, capable of effectively interacting within a team setting. Ability to liaise with internal and external stakeholders, promptly responding to inquiries, and directing individuals to the appropriate resources and services. Prepares written communications (e.g. emails, letters, reports, minutes) using clear, concise and grammatically correct language to achieve their purpose and meet audience needs.
- Exceptional Time Management and Prioritisation: Ability to manage multiple priorities and meet deadlines efficiently. Strong time management skills in balancing competing demands, organised meeting documentation including for committee meetings, and ensured timely completion of tasks.
- Proactive Problem-Solving and Process Improvement: Display a proactive approach to addressing challenges and enhancing operational processes.
- Policy and/or project management: confidently explains complex policies across diverse subject matters to stakeholders; develops policies based on evidence, assessment of options, knowledge and consultation with interested parties; clearly defines objectives and action steps for achieving them; regularly communicates and supports project team members; ensures project objectives are met by anticipating and managing potential and emerging issues.
- Initiative and Accountability: Proactive and self-starting; Takes responsibility for own actions.
