Project Officer

The Role
We are seeking a Project Officer to support supports the Industry Engagement Unit to plan, coordinate and deliver stakeholder engagement and related initiatives, providing high-quality project management and administrative support across the team's work program. The role requires strong interpersonal and communication skills, experience working with financial management systems, and the ability to manage competing priorities with accuracy and attention to detail. The successful candidate will be a proactive self-starter who is highly organised, takes initiative and works collaboratively to achieve outcomes.
Main accountabilities:
- Provide unit coordination and project management support to the Manager and team (including IAG-related projects and deliverables) by maintaining work plans, project plans and registers; coordinating schedules and logistics for meetings and events; tracking actions, milestones and dependencies; preparing progress updates; and supporting follow-up, risk and issue management to enable timely delivery.
- Provide adminstrative and records management support for meetings and governance activities, including preparing agendas and papers, coordinating logistics, taking accurate minutes, maintaining action and decision registers, and ensuring records are captured and stored.
- Support contract and financial management activities, including assisting with procurement processes, establishing and maintaining contract documentation, tracking expenditure against budgets, processing invoices, and using relevant government financial and contract management systems.
- Coordinate end-to-end logistical delivery of events and engagement activities (online and in-person), including Industry Advisory Group (IAG) meetings and workshops, covering planning timelines, venues and suppliers, invitations and registrations, briefing materials, run sheets, on-the-day logistics and post-event follow-up.
- Contribute to planning and delivery of engagement activities by supporting stakeholder lists and communications, coordinating inputs for briefings and packs, and maintaining accurate contact, engagement and correspondence records to enable consistent and professional stakeholder management.
The Team
The position of Project Officer forms part of the Engagement and Skills Reform Branch, which sits within Victorian Skills Authority.
The Victorian Skills Authority (VSA) provides evidence-based planning and solutions to meet current and future skills needs in Victoria. We are an administrative office led by a chief executive officer and supported by an advisory board of key stakeholders.
We report directly to the Minister for Skills and TAFE and work closely with the Office of TAFE Coordination and Delivery and the Skills and TAFE Group within DJSIR.
Our role is to gather and analyse industry data, identify where there are current and emerging skills shortages in Victoria's workforce, work with stakeholders to develop strategies to fill these gaps and drive engagement, collaboration and innovation across Victoria's skills system.
The VSA has three branches – Analysis and Insights Branch, Engagement and Skills Reform Branch, and Service Branch. Four units sit alongside the three branches – Clean Economy Unit, Corporate Services Unit, Future Skills Unit and the Office of the CEO and Deputy CEO.

About You
To be successful in this role, you will have the following main skills and experience:
- Project management
: Supports the delivery of the Unit's work program by planning and coordinating tasks, developing and maintaining project plans/schedules and registers, monitoring milestones and deliverables, managing risks and issues, and keeping accurate records to support timely delivery of engagement activities.
- Strategic Planning: Ensures day-to-day planning and work processes are in line with team/organisation strategy; helps identify and develop own and team objectives linking strategies to actions to achieve these; supports others in strategic planning process.
- Innovation and Continuous Improvement: Leverages existing continuous improvement systems and procedures to improve outcomes, quality and efficiency of work; Offers suggestions and ideas, encourages others to do the same.
- Business and commercial acumen: Supports procurement and contract processes, maintains contract documentation and registers, and accurately processes invoices and expenditure; seeks efficient ways of working, using relevant financial and contract management systems.
- Working collaboratively: Builds supportive working relationships within and across teams; shares information to understand and respond to issues; steps in to help others where required; and responds constructively to changing priorities while showing initiative and a strong focus on outcomes.
