Selection Criteria
- Demonstrated capacity to effectively coordinate and manage daily staffing operations in a busy school environment, including yard duty rosters, timetable adjustments and short-term replacement arrangements, with the proven ability to interpret and apply relevant school policies, industrial agreements and operational procedures to inform decisions, and proficiency in the use of school management systems such as CASES21, Compass and timetabling tools (e.g., Edval, TIMETABLER or similar).
- Highly developed organisational skills with the ability to prioritise competing tasks, meet deadlines and maintain accuracy under pressure, complemented by experience in developing and maintaining efficient administrative systems¿including digital forms, databases and records¿to support timetabling, attendance, staffing and daily school operations.
- Excellent communication skills, with the ability to provide clear direction and timely information to staff, leadership, CRT agencies and other stakeholders, coupled with a proven ability to build and maintain positive working relationships, work collaboratively across the school, and manage sensitive matters with discretion and professionalism.
- Demonstrated ability to work autonomously, make informed operational decisions and respond calmly and effectively to unexpected changes or urgent issues, while evaluating competing demands, applying school priorities and escalating matters appropriately when required.
- Understanding of the pivotal role the Daily Organiser/Timetabler plays in supporting effective teaching and learning, combined with a demonstrated commitment to child safety, equity, inclusion and DET values in all aspects of work.
- Willingness and capacity to participate in and contribute to whole-school planning, improvement initiatives and operational refinements, along with a demonstrated ability to identify opportunities for more efficient workflows and implement improved practices.
Role
Specific Duties & Responsibilities (Time Tabler)
- Development of a timetable that reflects College priorities and promotes effective teaching and learning.
- Maintain an accurate and up-to-date timetable
- Provide advice to the Consultative Committee, Leadership Team regarding the number of classes, periods and staffing requirements to enable timely decision making in relation to College planning
- Conduct appropriate consultations with the Principal Class in the development or necessary changes to the timetable
- Preparation of timetables for alternative activities such as (but not limited to): exams, orientation programs and NAPLAN etc.
- Provide assistance regarding room allocations
- Liaise with the Principal Class to ensure that all aspects of the school's daily organisation and timetable implementation are covered
Specific Duties & Responsibilities (Daily Organiser)
- Allocate `extras¿, `in-lieu¿, `unders¿ and the duties of Casual Relief Teachers (CRTs) in a fair, equitable and transparent manner
- Covering classes, mentor groups, yard duties and other responsibilities for teachers who are absent
- Maintaining a flexible pool of CRTs who are available to meet the short-term staffing needs of the College
- Monitor the availability of work for replacement classes
- Organise room changes and redistribution of classes
- Distribute and update staff Yard Duty Roster
- Developing effective and efficient processes and procedures for informing teachers on a daily basis of their responsibilities with regard to extra duties
- Liaising with teaching staff regarding work left for classes affected by teacher absences
- Ensuring that the employment of CRTs remains within budget limits
- Liaising with the Principal and HR Officer regarding cover for teachers on extended leave of absence and/or unpredicted staff short term shortfalls
- Arrange staff supervision for activities including camps, excursions and other College events
- Maintain records of staff absences and provide information to HR officer
- Back up on a daily basis the `Daily Organiser¿ software, publish Daily Extra and archive Daily Extras
- Manage ¿Time-in-Lieu¿ (TiL) records and liaise with the Business Manager and Principal Class regarding the acquittal / payment of this time
- Generate relevant database reports
Specific Duties & Responsibilities (Events, Camps & Excursions)
- Liaise with the teacher in charge to ensure adequate staffing for events, camps and excursions.
- Quality control all applications for events, camps and excursions, referring items back to the teacher in charge where required and prior to submission for approval.
- Ensure that events, camps and excursions are correctly recorded on SAL, at least one week prior to the event.
- Responsible for organisation of all first aid kits to be used on camps and excursions (via external provider)
- Responsible for the triage of kits, where demand exceeds the supply of the first aid kits
- Liaise with the First Aid Officer as required
- Assist with the management of students regarding first aid where appropriate and necessary.
- Commitment to participate in annual First Aid training provided by Walcom Ngarrwa Secondary College
Other Duties & Responsibilities
- Provide Front Office/Reception relief support when required
- Reconcile Agency Casual Relief Staff statements for readiness for payment by Finance Officer
- Other Duties as directed by the Principal

Position Purpose:
This position is appointed by the Principal and is accountable to the Business Manager. On a day-to-day basis the Operations Manager will report and take direction from the PCO Class. The role of the Operations Manager is to provide direct support to the Principal Class and Business Manager particularly in the areas of Daily Organisation and implementation of staffing arrangements including timetabling, events, camps and excursions.

About our School:
Walcom Ngarrwa Secondary College is a new school that opened in Werribee in January 2024. On opening Walcom Ngarrwa, welcomed 177 Year 7 students to the school community. Over the coming years, the school will add a new year level every year through until 2029, when we will have students from Year 7-12.
