Attendance requirement for this position is 8.00am - 4.00pm Monday to Friday during school terms.
Role
To be a proactive and enthusiastic member of the administration team and to deliver an excellent support system for the principal class, teaching and education support staff, students, parents and members of the wider school community.
Office Manager:
Meet and greet all visitors to the school in a positive, professional and helpful manner.
Maintain the WWCC and VIT Register for all visitors, volunteers and contractors according to DE Policy.
Manage school emails and redirect as appropriate.
Manage appointments for the Leadership Team.
Manage bookings and coordinate School Tours.
Provide excellent data entry and general office skills.
Coordinate and prepare routine school communications.
Maintain school records system including computerised student, staff and school records.
Website data management in relation to enrolments/school tours/consent and general enquiries.
Provide a range of administrative and support duties to School Council and School Council subcommittees as required.
Ensure that office supplies are maintained with suitable stock levels.
In consultation with the Principal or Business Manager, determine and manage work priorities within the school office.
Undertake other duties as may be deemed necessary by the Leadership Team.
Student Administration:
Experience in the use of CASES21 Administration modules essential.
Excellent skills in MS Office essential.
Experience in the use of COMPASS desirable.
Manage all student enrolments and support with student transition.
Manage international student enrolments and support the international student program.
Respond promptly and professionally to all enrolment enquiries via website, phone, email and in person.
Provide accurate and timely enrolment information to prospective families.
Coordinate and schedule enrolment interviews with relevant staff.
Maintain up to date enrolment documentation and ensure compliance with school policies.
Assist with student placement processes and liaise with teaching staff regarding new enrolments.
Support transition activities for new students, including orientation and welcome packs.
Maintain student administration systems to manage enrolment data.
Ensure accurate entry and updating of student records including demographic, medical, legal, family and emergency contact details.
Maintain and distribute enrolment statistics and reports for leadership and planning purposes.
Archive and manage historical enrolment records in accordance with privacy and DE regulations.
Ensure enrolment practices align with Department of Education guidelines and school values.
Prepare school surveys, Student Census and End of Year Administrative Rollover.
Uphold confidentiality and professionalism in all communications.
Support initiatives that promote equity, inclusion and diversity in the enrolment process.
Update student attendance on Compass.
Provide routine clerical and administrative support to the Principal Team.
Process CSEF and SSR applications.
First Aid:
Current CPR and First Aid Certificates essential.
Participate in specialised supervisor training to oversee staff compliance of ASCIA Anaphylaxis e-training.
Provide primary first aid treatment to staff, students and visitors for illness or injury and report as per DE policy.
Maintain accurate and detailed records of all first aid treatments, incidents, illness and medication.
Management and dispensing of student medication.
Monitor and maintain first aid supplies and equipment, ensuring they are stocked and in good working order.
Maintain first aid kits before and after camps and excursions.
Update all first aid on Compass, CASES21 and eduSafe Plus.
Update and manage Health Management Plans for students with specific health needs, ensuring they are current and accurately reflect each students¿ requirements.
Keep noticeboards up to date with first aid information regarding high-risk students and lists of first aid trained staff.
Undertake administrative procedures associated with the delivery of various student health, first aid and wellbeing services to the school.
Provide advice and support to management and staff on health and safety policies and first aid practices.
Communicate effectively with staff, students and families regarding first aid procedures and incidents.
Participate in emergency drills and ensure readiness for emergency situations.
Stay updated with the latest first aid practices and participate in ongoing training and professional development.
Organise meetings and training related to first aid matters e.g. staff first aid training, anaphylaxis briefings and completing all standard paperwork.

Bundoora Secondary College is a year 7-12 College in a quiet residential area of Bundoora, a northern suburb of Melbourne. We are an innovative, caring school and take great pride in knowing every member of our community (both staff and students) as individuals and as learners.
The school is set on a well-developed, picturesque site adjacent to Gresswell Forest. Strong emphasis is placed on catering for the individual learning style of each student. Achievements are recognised and celebrated.
