NUM ADMINISTRATION SUPPORT - Corryong Health
We are looking for a NUM Administration Support to join our small but comprehensive team of Health Professionals in the beautiful rural town of Corryong.
Corryong Health is a fully accredited small rural health service located in the far north-eastern corner of Victoria, around 120 kilometres east of Wodonga. Corryong Health provides a range of services including urgent care, acute, residential aged care and home and community-based services.
About the Role:
The Administration Support worker has a key role in the provision of administrative services to the Nurse Unit Manager (NUM) to ensure the efficient, effective interface between service delivery and the community.
This is a part-time position 37.5 hours per week.
Key Responsibilities:
- Plan and prioritise own workload to ensure tasks are completed in a timely manner and outcomes are achieved. Develop systems and procedures to guide work and track progress
- Be responsible for the development and maintenance of office systems that allow effective administration support
- Ensure all new staff and agency staff have all login details to all required systems.
- Drafting agenda, taking and writing up minutes
- Resource booking schedule for meetings and functions
- Attending to filing in MMA & MMB
- Ensure the filing cabinets in Acute and Residential Unit have all relevant documents
- Ordering medical stores, supplying medical stores to other departments within the organisation and putting stores away in the sterile and on-stock room
- Coding of orders
- End of month Budgets/incontinence aids
- Developing the Acute and Residential roster
- Agency bookings and accommodation
- Completing the roster template weekly
- Back filling staff on the roster day to day as required
- Organising Remote Doctor on Call weekends
- Update policy and procedures as directed by the NUM
- To complete quality tasks under the direction of Quality Support Person in consultation with the NUM
- Prepare and be responsible for word processing, and management of other computer-based programs that track Quality Safety and Risk records including scanning and filing of documents
- Entering of data for admissions/discharges UCC presentations
- Ensure all audits relating to the Acute and Residential Unit are completed in a timely manner
- Participate in staff meetings and or reference groups as appropriate
- Maintain a clean and tidy work environment conducive to efficient, professional practice
- Ensuring all new Residential medication charts are completed as required at the beginning of each month
- Maintain a high level of confidentiality and professionalism when dealing with sensitive information and matters
Requirements: To join our team, you must:
- Demonstrated office administration skills. Including but not limited not: preparation of accurate reports; ordering of required stock; data management; maintenance of rostering systems; and general office systems and procedures.
- Ability to work within a multidisciplinary team environment, adaptable to change and committed to quality improvement, able to explore new ways of working in line with developments in technology, service delivery and funding requirements
- Demonstrated understanding of ADP Payroll/Rostering system
- Demonstrated experience in prioritising workloads. Demonstrated diplomacy and interpersonal skills.
- Ability to work under pressure with conflicting priorities, meet strict deadlines and pay attention to detail.
- Ability to exercise initiative and work both independently and co-operatively as required.
- Well-developed communication, interpersonal and advocacy skills.
- Ability to maintain confidentiality and handle sensitive matters diplomatically and discreetly
