The Office of the Secretary leads, oversees and coordinates all departmental functions, portfolio-wide activities and interactions with DTP Ministers.
About the Role
This is an ongoing VPS 6 role
This position provides high-level business and executive support to the Secretary of the Department of Transport and Planning (DTP). The role requires exceptional interpersonal and stakeholder management skills, with the ability to liaise on behalf of the Secretary with a broad range of stakeholders. These include Ministerial Offices, senior executives across the transport and planning portfolio, leaders within the Victorian public sector, and internal departmental business services managers and executive assistants.
The role leads a small team and oversees the business and administration functions of the Office of the Secretary. Key accountabilities include the coordination of ministerial briefs, financial and records management, business planning, and budget oversight. The position also provides direct confidential executive support to the Secretary and the coordination of external meetings and speaking engagements..
Success in this role will require proactive management of the Secretary’s calendar and stakeholder engagements, with responsibility for coordinating logistics and preparing briefing materials to support informed decision making. The incumbent will be expected to exercise initiative, demonstrate sound judgement in a sensitive environment, and drive improvements in work practices to deliver efficient and effective support services. Building and maintaining a professional network of executive assistants across the Department will also be a key focus, providing leadership, knowledge sharing, and capability-building across the organisation.

Qualifications and role specific requirements
• Leadership experience in a large organisation including management of sensitive information
• Tertiary qualification and work experience in government would be advantageous
