Key accountabilities
- Provide a range of administrative support functions for the Learning & Capability (L&C) team to support the delivery of day-to-day and project learning & capability activities, including but not limited to training records management, organisation of learning venues and environments, stakeholder forums, coordinating a regular calendar of learning and maintaining the L&C team email inboxes.
- Manage the receipt and payment of invoices from providers, including purchase orders in line with the procurement framework.
- Draft, coordinate and distribute internal and external communications on behalf of the L&C team; including but not limited to Learning Management System (LMS) News, Learning of the Week, intranet updates and all staff email communications.
- Support the L&C Coordinator with the administration and management of the LMS platform, including but not limited to maintaining learner records within the LMS and other learning platforms for all learning and capability programs, ensuring privacy, confidentiality and record keeping obligations are met, setting up workshops, programs, courses and assets.
- Prepare dashboards, reports, presentations, meeting agendas, minutes and actions for stakeholder forums and meetings.
- Support L&C Consultants with the design, development and quality review of learning materials prior to release.
- Develop, distribute and collate learning feedback surveys and reviews to various audiences including but not limited to learners, facilitators, developers and managers.
About you
You're an administrator who is passionate about delivering positive outcomes. Your written and verbal communication skills are highly developed, and you have a good eye for detail. You are an organised professional who has strong time management skills and the ability to meet tight deadlines.
Additionally, you will possess the following:
- Demonstrated proficiency in MS Office (Word, Excel and Outlook)
- Demonstrated experience in communicating with others to promote projects
- Proven ability to self-organise and exhibit initiative to manage workload
- Ability to liaise with a diverse range of stakeholders
- A continuous improvement lens to identify gaps and provide solutions
- Ability to travel to Melbourne / Essendon offices as required (may be once of month)
Qualifications (desired)
- A vocational qualification (minimum Cert IV) in Business, Business Administration or Training and Assessment; or
- A willingness to obtain a relevant qualification as part of professional development.
