Range 4 is distinguished by broader management responsibility, particularly in the areas of finance, human resource and other support functions. Range 4 is responsible for managing a range of functions under a wide range of conditions, subject to the size and complexity of school operations.
Objectives will, generally, be clearly defined; guidelines will be broad and day-to-day direction minimal. Management responsibility extends to ensuring appropriate support levels are maintained across the school. Range 4 generally provides key support and timely advice to the leadership team and school council and liaises with the general school community, the Department and other government agencies and service providers.
Specialised professional roles will carry a high level of independence and accountability where suitable scope is provided to achieve objectives.
An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employees position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.
The Office Manager at Barayip Primary School, will be responsible for:
Community Welcome & Reception
- Provide warm, genuine greetings to families, staff, students and visitors at Reception.
- Uphold the Barayip standard of care, professionalism, and community connection in all interactions.
- Maintain a welcoming, organised, and calm office environment that reflects our school values.
Communication & Email Management
- Manage the school email inbox with efficiency and care.
o Forward messages to the relevant staff.
o Print urgent matters.
o Acknowledge and reply to general enquiries professionally and promptly.
- Support positive communication flow between leadership, staff, families and external services.
Phone & Visitor Management
- Answer school phones warmly and professionally, directing calls appropriately.
- Provide clear and accurate information to families and community members.
- Welcome and check in visitors, ensuring compliance with school procedures.
Emergency Management Processes (EMP) & OH&S
- Ensure all EMP documentation is up-to-date, accurate, and compliant with DET requirements.
- Support leadership in preparing for emergency drills, EMP reviews, updates, and required reporting.
- Maintain clear records, logs and communication relating to safety, emergency processes, and compliance obligations.
- Assist in coordinating Occupational Health & Safety processes across the school, including hazard reporting, documentation and follow-up actions.
- Work closely with the Facilities Manager and Business Manager to ensure all EMP and OH&S procedures are implemented effectively, risks are managed proactively, and the school environment remains safe for students, staff and visitors.
Administrative Support
- Maintain accurate front-office records, logs and documentation.
- Support enrolment processes, administration tasks and information management as directed.
- Assist with whole-school organisation, including scheduling, notices, and daily operations.
