Sound knowledge of Occupational Health and Safety (OHS) legislation, compliance obligations and risk management practices, including experience implementing safety and compliance systems, coordinating emergency management procedures, conducting proactive hazard identification, and ensuring safe work practices are maintained across facilities and contractor activities.
Highly developed written, interpersonal and communication skills, including the proven ability to prepare tender documentation, scope of works, quotations and recommendations for leadership teams and School Council. Demonstrated ability to communicate effectively with stakeholders, negotiate with contractors and suppliers, and provide clear, accurate and timely reporting.

Range 4 is distinguished by broader management responsibility, particularly in the areas of finance, human resource and other support functions. Range 4 is responsible for managing a range of functions under a wide range of conditions, subject to the size and complexity of school operations.
Objectives will, generally, be clearly defined; guidelines will be broad and day-to-day direction minimal. Management responsibility extends to ensuring appropriate support levels are maintained across the school. Range 4 generally provides key support and timely advice to the leadership team and school council and liaises with the general school community, the Department and other government agencies and service providers.
Specialised professional roles will carry a high level of independence and accountability where suitable scope is provided to achieve objectives.
An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee's position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.
Role Overview
The Facilities Officer is a key member of the school¿s Administrative Services Team and works under the direction of the Business Manager. The role is responsible for overseeing the maintenance, safety, compliance, and day-to-day operation of the school¿s facilities, ensuring a safe, functional, and well-maintained environment for students, staff, and visitors.
Key Responsibilities
Facilities & Maintenance Management
Work autonomously while demonstrating initiative, sound judgement, leadership, and effective problem-solving skills.
Manage and coordinate all external contractors including cleaners, gardeners, electricians, plumbers, and other trades.
Ensure contractors comply with school policies, Department of Education requirements, Occupational Health & Safety (OHS), WorkSafe regulations, and Child Safety standards.
Manage, supervise and support the Maintenance Team in daily operational duties.
Conduct regular inspections of school facilities to identify maintenance requirements and safety concerns.
Monitor and manage facilities requests through Compass Issue Tracker, prioritising and allocating tasks as required.
Coordinate maintenance stores, including purchasing, deliveries, stock control, and equipment management for whole of school.
Manage all cleaning operations and liaise with cleaning contractors regarding daily and scheduled works.
Ensure all buildings meet statutory essential service requirements, including:
Fire safety equipment
Emergency exits and egress
Electrical testing and tagging
OHS compliance standards
Identify and respond promptly to maintenance or safety hazards.
Manage urgent cleaning and biohazard incidents as required.
In response to the college calendar, coordinate room setups and facilities to support school events, such as exams, information evenings, and open days.
Maintain school vehicles, including servicing, compliance, and usage procedures.
Occupational Health & Safety (OHS) & Compliance
Implement and maintain Department of Education OHS and risk management procedures.
Induct new staff and contractors on OHS requirements and school safety procedures.
Support staff in adhering to appropriate OHS practices.
Manage facilities work orders through AIMS and CASES21 as applicable.
Manage OHS records and compliance including Workers' Compensation via eduSafe.
Coordinate Essential Maintenance Services and condition-based works through AIMS.
Facilitate annual Essential Services audits with approved providers.
Ensure compliance with the Department¿s Asbestos Management Policy.
Support Emergency Management Planning and maintain required documentation and records.
Assist the Assistant Principal (OH&S) with emergency management procedures and planning.

Shared Administrative Responsibilities
Answer phone calls and provide information and assistance in line with school policies.
Respond professionally to enquiries at reception and the student services window.
Provide general administrative support including word processing, mail merges, and clerical duties.
Assist with school-wide mailouts and communications.
Provide first aid support to students and liaise with parents when required.
Maintain confidentiality, professionalism, and sensitivity in all interactions with staff, students, families, and the wider school community.
Ensure school records remain confidential and secure.
