Reports to: Assistant Principal (Facilities) and Business Manager
Role PurposeThe Facilities & Finance Administration Lead is responsible for overseeing and coordinating the school¿s facilities operations and accounts payable function, ensuring that maintenance, asset management, compliance and financial processes are effectively prioritised, delivered and monitored.
The role provides operational leadership of systems and workflows, ensuring all work is visible, compliant and completed in a timely manner, while supporting informed decision-making through accurate data and reporting.
The successful candidate will work as a key member of the school¿s administration team and will at times be required to perform administrative duties such as answering the phone and filing.
Management of Facilities Operations
Oversee and coordinate the day-to-day facilities operations of the school
Manage the end-to-end workflow for maintenance requests, from logging through to completion
Prioritise work based on urgency, risk and school needs
Ensure all work is allocated, monitored and closed in a timely manner
Systems and Asset Management
Maintain and oversee the school¿s asset and maintenance systems (including AIMS)
Ensure all records relating to assets, maintenance and compliance are accurate and up to date
Monitor planned maintenance and compliance schedules
Generate reports to support planning and decision-making
Coordination of Staff and Contractors
Allocate and coordinate work for the Maintenance Officer
Engage and coordinate external contractors, including scheduling and site access
Monitor the progress and quality of work and follow up as required
Ensure all work aligns with school priorities and operational needs
Financial and Procurement Oversight
Oversee the facilities procurement process, including purchase orders, invoicing and payments
Monitor expenditure against budget and identify emerging issues
Prepare financial summaries and updates for the Assistant Principal and Business Manager
Ensure all processes comply with Department and school requirements
Accounts Payable & Financial Administration
Manage the accounts payable function for the school, ensuring all invoices and payments are processed accurately and within required timeframes
Undertake end-to-end accounts payable processing, including invoice receipt, coding, approvals and payment tracking
Monitor and prioritise outstanding invoices, resolving discrepancies and following up as required
Maintain accurate and auditable financial records to support reporting and audit processes
Provide advice and support to staff in relation to procurement and payment processes
Identify and implement improvements to accounts payable workflows to increase efficiency and accuracy
Continuous Improvement and Advice
Identify and implement improvements to systems, workflows and processes across facilities and finance functions
Adapt work practices to improve efficiency within established guidelines
Provide advice to the Assistant Principal and Business Manager on operational matters within the work area
