SC1 Facilities and Maintenance Administration
Demonstrated experience in facilities, construction, property or maintenance administration, including coordinating maintenance requests, tracking outstanding works, maintaining service schedules and ensuring tasks are followed through to completion.
SC2 Contractor and Contract Administration
Demonstrated experience coordinating contractors and service providers, including bookings, quotations, site access, contractor documentation, scheduled servicing and the administration of annual or recurring service contracts.
SC3 OHS, Compliance and Systems Administration
Demonstrated ability to maintain accurate OHS, contractor and facilities compliance records, monitor inspections, servicing and renewal requirements, and identify and escalate overdue actions. Experience using asset, maintenance, finance or workflow systems is required, with experience in AIMS, CASES21 and Compass highly regarded.
SC4 Procurement, Organisation and Stakeholder Support
Demonstrated ability to manage competing priorities and undertake purchasing and administrative processes, including quotations, purchase orders, invoices and record keeping, together with effective communication skills when working with staff, contractors, suppliers and members of the school community. The successful applicant must also be able to provide reception and general office support when required.
The Facilities Administration & Operations Officer provides administrative and operational support for the management of the school's facilities, maintenance activities, contractors, OHS administration and compliance requirements.
The role coordinates maintenance requests, contractor bookings, annual and recurring service contracts, compliance records and purchasing processes using Department and school systems including AIMS, CASES21 and Compass.
The position is expected to proactively monitor outstanding maintenance, compliance and contractor matters and follow these through to completion, escalating issues to the Business Manager where required.
Strong organisational skills and the ability to manage multiple priorities are essential. Experience in construction administration, facilities, property or maintenance coordination is highly desirable.
The position forms part of the school's administration team and will also provide reception and general office support when required.
Attendance Requirements
The position is required to work Monday to Friday, with attendance generally between 9:30 am and 2:30 pm.
The position will be offered at between 25 and 30 hours per week, with the final time fraction and daily hours to be negotiated with the successful applicant based on operational requirements.
Individuals with the aptitude, experience and/or qualifications to fulfil the specific requirements of the position.
Experience in facilities administration, construction administration, property, maintenance coordination, contractor management or a similar environment is highly desirable.
Previous experience in a school or Department of Education setting, including experience with AIMS, CASES21 and Compass, would be advantageous but is not essential.
