About the Department
The Department of Education (DE) leads the delivery of education and development services to children and students both directly through government schools and indirectly through the regulation and funding of early childhood services and non-government schools.
About the Division
The Conduct and Integrity Division provides expert advice and support to Victorian government school principals and other people managers in the Department of Education on managing employee conduct and performance including child safety concerns and fraud and corruption. The Division has been expanding and it's an exciting time to join.

About the Role
The Executive Support Officer role is to provide timely and high-quality support for the Directors within the Conduct and Integrity Division. Showing initiative, forward planning and anticipating the needs of the Executive leadership team is paramount.
The role requires attention to detail, flexibility, and the ability to manage competing demands and deadlines. It includes high-quality executive, administrative, and project support, management of office support services, record keeping, and application of administrative policies, procedures, and protocols.
Supporting two Directors – the Director, Preliminary Investigations and Director, Child Safety and Integrity (Policy and Oper ations) – the Executive Support Officer will:
• provide high-level administrative support, including independent diary management, scheduling meetings, booking meeting rooms, collation and preparation of meeting papers
• coordinate and manage recruitment functions across branches on behalf of the Directors and Managers, including the onboarding of new staff
• assist in the preparation of reports
• organise payment of invoices, raise purchase orders using the Department's electronic purchasing system
• think innovatively in identifying and anticipating the needs of the Executive leadership team as they develop and implement new processes to meet the new demands in an environment of change
• prepare and/or provide quality assurance of staffing and procurement requests for executive-level approval
• engage in or manage a range of projects relevant to the activities of the Executive leadership team and the broader division
• coordinate a range of division activities and undertaking other duties as required.
About You
The successful applicant will demonstrate high-level interpersonal, integrity and confidentiality skills, including the capacity to manage the relationship interface on behalf of the Directors with a wide range of internal and external stakeholders. Showing initiative, forward planning and anticipating needs of executives, managers and staff is critical, as is displaying diplomacy and discretion at all times.
