About the role:
HSRP01/VPS4/Executive Coordinator
The Executive Coordinator supports the effective operation of the Office of the Executive Director by coordinating executive workflow, business processes and administrative operations. The role acts as a central coordination point for the Office, ensuring information, actions and priorities are organised, timely and aligned with departmental processes.
Working closely with the Executive Director, the position oversees the flow of business across the division, triaging requests, sequencing priorities and ensuring matters for executive consideration are appropriately prepared and tracked. The role supports decision-making by coordinating briefings, papers and actions, monitoring deadlines and following up on outstanding items.
The Executive Coordinator coordinates the day-to-day functioning of the Office, including finance, HR, procurement, recruitment, onboarding and records management processes. The role provides practical guidance to staff on departmental procedures and helps ensure activities are completed in line with governance and information management requirements.
As a key interface between the Executive Director, divisional staff and corporate areas, the role facilitates communication, resolves routine operational matters and supports delivery of divisional priorities. The position also contributes to improving office processes and establishing consistent ways of working to support a well-functioning executive office.
