THE ROLE
The Executive Coordinator provides high-level administrative and executive support to the Executive Director, Service Agreements & Quality Systems (SAQS) and SAQS Executive team. The role is a key liaison point across SAQS and coordinates communication between SAQS and the division's Deputy Secretary office as well as other divisions across the department.
The Executive Coordinator is required to coordinate activities on behalf of the SAQS Directorate including arranging complex meetings, managing the workflow of the Executive Director, co-ordinate and quality assure documents, preparation of briefs and letters and document tracking.
The role also works across other portfolios in the branch during times when increased staffing is needed to attend to coordinate and respond to feedback and privacy matters.
The role requires experience in providing high level executive support, and excellent organisational, communication and stakeholder skills to enable responsive, high quality delivery of business and strategic priorities.
ACCOUNTABILITIES INCLUDE
- act as key point of contact within the branch; coordinating responses to briefings and correspondence, parliamentary matters and provide guidance to staff in the branch so that all matters are completed on time and to the highest possible quality
- escalate items as appropriate; display organisational awareness, having regard for political and stakeholder sensitivities
- proactively respond to queries and information requests, provide high-quality information and authoritative advice, and take follow up action as required under limited direction on matters including human resourcing, governance and other administrative and corporate matters
