1. High-level administrative and organisational skills
Demonstrate the ability to manage multiple tasks, meet deadlines, and maintain attention to detail in a busy school environment. Coordinate schedules, prepare documentation, and support day-to-day administrative functions with accuracy and efficiency.
2. Executive support and calendar management
Provide executive-level support, including diary and appointment management, meeting coordination, and preparation of agendas, minutes, and reports. Manage confidential and sensitive information with discretion.
3. Strong written and verbal communication skills
Communicate professionally with staff, students, parents, and external stakeholders. Prepare clear correspondence, reports, and documentation in a timely and accurate manner.
4. Proficiency in ICT and administrative systems
Use a range of software applications, including Microsoft Office Suite, Compass, CASES21, and Google Workspace (Docs, Sheets, Forms). Learn and apply new digital tools to support school operations and administrative processes.
5. Ability to work independently and collaboratively
Work independently and as part of a team within a fast-paced and evolving school environment. Demonstrate initiative, problem-solving skills, and flexibility in responding to changing priorities, using a solutions-focused approach that supports colleagues and contributes to the smooth functioning of the College.

Wollert Secondary College opened in 2023 and is located in a developing growth corridor, with enrolments steadily increasing. The school currently has just under 400 students across Years 7 to 9 and is projected to grow to approximately 580 students by 2026, expanding to Years 7 to 10. By 2028, when the College offers a full Year 7-12 program, total enrolments are expected to reach approximately 1,000 students.

The Executive Assistant / General Administration role provides high-level administrative and executive support to the school leadership team, ensuring smooth day-to-day operations. Key responsibilities include diary and meeting management, preparation of correspondence and reports, handling confidential information, and supporting staff, students, and parents.
The role also involves general administrative tasks, use of digital tools and school systems, and contributing to a collaborative, professional, and student-centred school environment. Management of a major school or district initiative, project, or Department-targeted strategy may also be part of this role.
As an Education Support position, the role supports educational services provided to students but does not include teaching duties as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic). Supervision of students is only required where integral to the role, such as individual or small-group supervision under controlled circumstances, with overall responsibility for students remaining with a teacher.
