THE ROLE
The Executive Assistant provides executive support to the Executive Director, Strategy Policy and Planning. The Strategy Policy and Planning Branch has portfolio responsibility for Social Housing Reform, Strategy and Results and Portfolio Planning. The successful candidate will provide high-quality, trustworthy, executive support to the Executive Director, manage complex email and calendar requirements and coordinating workflow. The role is responsible for a range of discrete, and often confidential, project tasks and is part of a small dynamic team that works collaboratively to ensure all products and materials are delivered in a timely and professional manner. Coordinating internal and external stakeholders is critical in the role and requires proven experience dealing with senior executives. The role will provide a range of executive support functions, coordination of quality assurance and approvals of workflow processes, diary management, meeting coordination, and compilation of meeting papers.
ACCOUNTABILITIES INCLUDE
- Provide a wide range of Executive Assistant support functions to the Executive Director, by strategically managing the workload, in particular emails, meeting invitations, correspondence, briefs, PAEC and PPQs and invitations. The role will handle highly sensitive and confidential information that requires judgment for prioritisation and immediate attention.
- Provide high-level and confidential executive administrative support to the Executive Director including proving advice on a range of matters using knowledge of the department, Minister's Office, other branches within the department, policies and priorities.
- Act as a key contact for internal and external stakeholders and develop and maintain professional and productive working relationships with all stakeholders. This includes working collaboratively with the Office of the Chief Executive Officer, Deputy Chief Executive Officer, other branches across Homes Victoria to ensure the Executive Director is well supported, informed and briefed in a timely manner.
