Role Description
The Administration Officer provides high-level administrative support to the Principal, teaching staff, and the broader school community. The role encompasses general office administration, finance and HR support, OH&S compliance, and coordination of daily school operations. Working under the direction of the Principal and Business Manager, the Administration Officer ensures the effective and efficient delivery of administrative services across the school, maintaining compliance with Department of Education policies, procedures, and child safety requirements.
Essential Requirements
Demonstrated experience providing administrative support in a school or similar environment, with the ability to manage competing priorities and maintain accurate records
Highly developed organisational and time management skills, including the ability to coordinate daily school operations
Proficiency in using school-based IT systems (e.g., CASES21, EduPay, Compass) and standard office software
High level written and oral communication and interpersonal skills, with the ability to build positive relationships with students, families, staff, and external agencies
Understanding of Department of Education policies, financial procedures, and relevant legislation
Commitment to confidentiality protocols related to sensitive staff and student information
Capacity to work both independently and collaboratively within a team environment
General Administration
Provide routine clerical and administrative support including telephone and front office enquiries, mail deliveries, meeting organisation, and stock control
Maintain, enter and retrieve data from the school's IT systems, including computerised student, staff and school records
Prepare routine internal and external communications in accordance with school procedures (e.g. newsletters / social media)
Manage client reception and office operations, including screening visitors and arranging interviews
Coordinate the delivery of administrative services within the school, including developing and implementing efficient office systems
Maintain office equipment and school supplies, including order processing and goods received.
Support first aid facilities and assist in delivering first aid to students as required
Finance Support
Process accounts payable, including purchase orders, invoices and supplier payments in accordance with Department policies and school procedures
Complete bank reconciliations, monitor financial transactions, and assist in maintaining accurate financial records
Support budget administration and prepare financial reports as required
Manage Purchase Card Statements and creditor transactions
Support CASES21 End of Period and End of Year procedures
Human Resources Support
Shared responsibility for payroll processes (DOE and SLP) and EduPay data entry
Support recruitment processes, including onboarding and HR inductions
Manage during-employment and ending-employment HR processes and procedures
Support Permission to Teach applications and related enrolments
Maintain confidential employee, payroll and financial records
Update and maintain Standard Operating Procedures (SOPs) for the Business/HR team
Support induction programs for new staff, volunteers and other workers
General
Respond to enquiries from staff, parents, suppliers and external stakeholders in a professional and timely manner
Support the coordination of daily school operations, including staff absences, workforce planning, and timetabling as required
Support the coordination of OH&S administration, including maintenance requests, contractor coordination, compliance requirements, and record keeping in accordance with Department of Education requirements
Provide administrative support for school events, functions, and projects as required
Attend and participate in professional development and relevant training
Undertake other administration, finance and HR duties as directed by the Principal or Business Manager to support the effective operation of the school

Officer Brunt Road Specialist School (interim name) is currently being built and will open from Day 1, Term 1, 2027. Located on Pioneer Way in Officer, the school has been designed to meet increasing enrolment demand within Melbourne's growing south-east corridor and will provide educational programs for students with mild to profound intellectual disability. When fully operational, the school will cater for up to 144 students.
The school has been purpose-built to provide a safe, inclusive and engaging learning environment that supports communication, regulation, independence and meaningful participation for every student.
