The ES Range 1-3 Finance Officer will be required to work as a supportive and positive member in a team environment with other office staff, Business Manager and the Principal team. At times it may be necessary to share/ rotate jobs between educational support staff depending on demand and if required.
The successful applicant will be required to undertake Finance and Administration functions, using the DE CASES21 system, as one key focus of their role. The role also requires attendance at the School Finance Committee on a monthly basis, if this falls outside of the standard hours of work for the role Time in Lieu will apply.
The Fixed Term, ES Range 1-3 Finance Officer position is full time 1.0EFT.
The work day is 7.6 hours plus a minimum of 30 mins lunch break.
Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.
Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management.
The provision of business management responsibilities becomes a feature at range 3. Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.
This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years. Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered. Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.
An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.

Delivery of finance and administrative services, including exceptional customer service
Maintain school's records system, including creditor details, outstanding invoices and orders
Accurate processing of purchase orders, invoices and all other payments including AIMS work orders and compliance in a timely manner and in accordance with DE procurement policy and the Chart of Accounts
Monitoring and reconciliation of School bank accounts and cash flow. Accurate processing and monitoring of purchase cards
Processing of EOM and assisting with EOYF and preparation for audit requirements (as required)
Reconcile expenditure against approved budgets, identify variances, and investigate discrepancies in a timely manner and report to Business Manager
Provide timely advice to Program and Faculty Leaders on budget allocation, spending trends, and available balances to support planning and compliance
Prepare Finance updates for sub-committees as required, and attend meetings
Processing and monitoring of assets including supporting the asset stocktake
Processing of journals and reconciliation of operating program budgets
Debtor invoicing and following up outstanding payments
Providing high level communication with creditors, suppliers and staff regarding payment of accounts
Support with reconciliation and monitoring of Camps/Excursions/Activities including Fundraising
Support with reconciliation and monitoring of the Northcote High School Thrive Fund and all approved expenditure including bank account transfers
Balancing petty cash and ensuring accurate record keeping
Support continuous improvement of finance processes, templates, and reporting to strengthen accuracy and efficiency. Implement strategies to ensure effective administration and financial procedures
Support General Office enquiries and reception when required. Including provide first aid support when required
Commitment to and development within a multi skilled office environment
Undertake other duties as may be deemed necessary by the Principal and Business Manager
