School holiday attendance may be required at times, as per agreement.
The position will comprise 3 days per week front office administration and 2 days Leadership administration support, tasks as required and directed.
Knowledge of Education Department operating systems such as CASES21, Compass, AIMS will be of advantage but not essential. Appropriate training will be provided.
An education support class position at this range will perform tasks that are carried out in accordance with guidelines, accepted practice, and school policy under supervision and direction. This may include coordination of other education support class staff within the work area or educational program.
An education support class position supports the educational services being provided to students but must not include duties of a teacher as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students can be required individually or in groups up to 4 in controlled circumstances and where the responsibility for students remains clearly with a teacher.
Certification and/or qualifications of up to three years can be required at this level (noting that Registered Nurse is not included at this level, the first level for which is Level 1 range 3).
A role at this range may include:
An education support class position at this range commencing at the base will initially be limited to undertaking routine tasks that are carried out under close supervision and direction. Work that carries some degree of independence will generally involve a limited number of tasks performed on a regular basis where priorities are clear, procedures are well established, and direction is readily available. Subject to any specific qualification and/or training requirement, an education support class employee employed in this range may be progressively required to undertake coordination, specialised student/teacher support tasks, or technical tasks as experience in the role is gained.
Dimensions of duties:
Co-ordinate, organise and determine work priorities to ensure an efficient operation of a work area
Obtain cooperation amongst staff within the work area
Undertake the performance of tasks with minimal supervision
Communicate and liaise with school staff, students, and the wider school community
Support Human Relations processes by:
Coordinate the preparation of school circulars and other routine school communication
Ensure confidentiality of records is maintained
Manipulate data/information and prepare documentation/basic from Cases21
Provide a range of administrative support functions for the Principals, Assistant Principal, Wellbeing and teaching staff
Manage the school's records system including computerised records on Cases21 and Compass
Provide everyday administrative support including general telephone, front office enquiries.
Provide administrative support to the Principals, Assistant Principal and Wellbeing team as needed.
Accountability
The Administration Officer will be directly accountable to Leadership and the Business Manager
Student Administration
Processing of student admissions, registrations, enrolments and transfers.
Coordinate the accurate processing of data collections, Census, NCCD, survey in line with DET requirements.
Booking appointments for outside allied health agencies.
Coordinate the preparation and distribution of school documentation, including staff/parent handbooks, school newsletter, school notices, enrolments packages, promotional materials.
Provide administrative support for school reporting, school events, including parent/student/teacher interviews, open sessions, prep transition
First Aid and Medical needs
Ensure systems are in place to effectively respond to a medical emergency
Support and assist students requiring First Aid
Finance
Accounts receivable - receipting. Ensure a system is in place for accurate receipting and banking.
Prepare and process Camps Sports Excursions Fund, State Schools Relief applications.
Coordinate purchasing and ordering of consumables, stationery, back to school supplies. Maintain a system for stock control.
Human Relations
Assist leadership with the daily organisational diary, including CRT bookings and recording staff absences
Occupational Health and Safety
Assist when required in OH&S tasks ensuring the school is meeting department guidelines.
Assist Emergency management team. Office contact
Liaise with leadership and emergency authorities as appropriate
Contractor induction and maintaining records on the school¿s Asset Management System (AIMS)
Further duties
Assist Business Manager as required
Undertake training relevant to job (Cases workshops, End of year, etc)
Is an active and collaborative member of the Administration Team
Other duties as directed by the Principal, Assistant Principal, Wellbeing leadership or Business Manager within the relevant dimensions of work.

Mildura Primary School No. 2915 is one of four large primary schools in the Mildura Rural City Council local government area. The school currently serves a student enrolment of about 355.
