Bairnsdale Secondary College is in the township of Bairnsdale, approximately 300 kilometres east of Melbourne's CBD and is sited on GunaiKurnai land. The College's projected enrolment for 2027 is approximately 1,300 students, drawing from Bairnsdale and surrounding East Gippsland communities.

This position is for a Daily Organiser. The role is for 5 days a week, hours are 7.15 am until 3.21 pm.
Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.
Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management.
An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employees position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.
Timetabling
¿ Working with the WSO Team ensure a cooperative and shared approach to managing the timetable process.
¿ Assist in the student subject selection process to ascertain subjects running and then construct a timetable after all relevant staffing information has been confirmed.
¿ Working with the WSO Team develop a timeline for student subject selection process.
¿ Manage the input of student choices into Edval.
¿ Provide student subject numbers to the WSO Team and School Improvement Team.
¿ Confirm subjects running and suggested staffing to specific subjects.
¿ Collate and update all staffing, time fractions, allowances, positions, days off etc.
¿ Collate and update all rooming needs and requirements.
¿ Identify issues and discuss with the Leading teacher ¿ WSO.
¿ Produce a suitable yearly timetable to ensure the needs of the students are best met.
¿ Update timetable for upcoming term/semester.
¿ Print individual timetables for students and staff.
¿ Provide support when staffing challenges arise by making suggestions, providing resources and making adjustments as directed in Edval and Compass.
¿ Manually add new subjects, custom classes and sessions.
Daily Organisation
¿ Record absences in daily organisation diary, enter into Edval Daily and ensure coverage of all absences is completed to ensure the smooth operation of the College.
¿ Ensure that teaching coverage is provided by way of teacher extras, or where necessary by engaging Casual Relief Teachers.
¿ Process a data synch with Edval Daily and Compass to ensure class rolls and allocations are accurate.
¿ Create and distribute the daily ¿Extras¿ in a timely manner - reflecting all absences, internal and external replacement teachers, alternate timetables, room changes and yard duty schedules.
¿ Be the contact person for teaching staff for daily absences.
¿ Work with the Leading Teacher - Whole School Organisation (WSO) and the Executive Team to ensure the suitability of matching CRT staff to student needs with daily class vacancies.
¿ Develop and maintain a CRT database.
¿ Support CRT¿s and replacement staff on their entry to the College, in conjunction with WSO leaders.
¿ Assist CRT¿s by providing class rolls for replacement classes.
¿ Maintain the physical location of work left for classes.
¿ Liaise with Leading Teacher - WSO and the Executive Team when an extended period of absence occurs to ensure consistency for students.
¿ Assist in creating and publishing alternate timetables when scheduled classes change due to events and exams.
¿ Support the allocation of rooms. Communicate room changes on a daily basis.
¿ Provide support to teaching and non-teaching staff when required including the printing/compiling of work.
¿ Develop the Yard duty timetable ensure yard duties are covered to ensure safety of students during non-class times.
¿ Ensure that timesheets are correct for processing.
Compass Administration
¿ Monitor the daily data sync between CASES21 and Compass to ensure accuracy.
¿ Conduct Compass user training for staff, provide Compass administration and technical support, assist users with system enquiries, and liaise with Compass support to troubleshoot and resolve issues as they arise.
¿ Populate the College calendar with significant dates, proposed events and faculty assessments on a regular basis ensuring it is kept up to date.
¿ Administer and maintain staff PD and PPD process in Compass.
¿ Undertake room swaps / events via EDVAL daily when required.
¿ Student Activity Locator (SAL) organisation.
Whole School Organisation
¿ Provide administrative support to the Whole School Organisation Support Officer for the coordination of school events, excursions and activities by assisting with Compass administration, compliance checks, approvals, scheduling, and event logistics to support the staff member responsible for event management.
¿ Coordinate School photos process and timetable including liaison with supplier.
¿ Work cooperatively as a member of the Whole School Organisation Team to ensure consistently high expectations that support teaching and learning.
¿ As a team member, assist in the coordination of:
o Timetabling
o Staffing
o Reporting Administration
o School Events Group
o Compass Administration.
¿ To support in the administration of teaching allotments by processing changes and adjustments in Edval.
¿ Liaise with Leadership regarding the allocation of resources.
¿ Support short term and contract staff.
Student Support
¿ Develop positive relationships with students to promote engagement in learning.
¿ Provide supervision and support to students accessing the Ready to Learn program, when staffing challenges require collapsed classes and at times during school breaks.
¿ Provide supervision and support to students during NAPLAN testing periods.
