About the role:
The Civil Claims Records Service Lead provides operational leadership to a specialist team delivering timely, accurate and compliant record discovery and retrieval services, with a primary focus on supporting the Department of Families, Fairness and Housing (DFFH) in responding to civil claims for compensation relating to abuse suffered by children while in the care of the State. The role ensures records are identified and retrieved in a manner that is sensitive, defensible and aligned with legal service requirements, enabling the department to meet its statutory and litigation obligations. It leads coordinated searching across physical and digital systems and ensures records are securely handled, digitised and provided in accordance with Public Record Office Victoria (PROV) standards, the Public Records Act 1973 and departmental procedures.
Reporting to the Manager, Records and Archival Services, the role is accountable for service quality, consistency and performance against agreed standards, and leads people management and capability development within a high‑demand, sensitive environment. It maintains fit‑for‑purpose SOPs, training materials and guidance, and provides expert operational advice to support continuous improvement in the delivery of high‑risk legal and civil claims matters. Working closely with legal, FOI and business stakeholders, the role ensures prioritised and coordinated handling of litigation‑related requests and contributes to broader branch leadership through collaboration, knowledge sharing and workforce development.
