About the role
The Business Support Officer provides executive management support to the Executive Director, Precincts while also leading the provision of high-quality coordination and secretariat support services for the broader Precincts branch.
The position requires a high degree of organisation, attention to detail and the ability to quickly and autonomously resolve problems. The Business Support Officer will be expected to demonstrate organisational awareness (i.e. understanding of government structures and processes) and the ability to form and maintain positive working relationships. Day-to-day there is a strong focus on managing competing priorities and delivering service excellence within a fast-paced environment.

Position accountabilities
The Department of Transport and Planning is seeking a highly organised professional to provide executive and administrative support to the Executive Director within the Precinct Program Coordination team. In this role, you will manage the Executive Director’s calendar, email correspondence, travel arrangements, and the timely preparation of meeting briefs and papers, ensuring communication with key stakeholders is handled with integrity, confidentiality, and professionalism.
You will provide secretariat and governance support for recurring and one-off forums, including preparing agendas, managing correspondence, and recording minutes. The role also involves supporting departmental and divisional reporting, liaising with colleagues across the branch to gather and synthesise information, and assisting with HR and recruitment processes as required. You will contribute to divisional projects, prepare correspondence in line with departmental guidelines, and actively support continuous improvement initiatives and a positive team culture. The ideal candidate demonstrates strong organisational, communication, and administrative skills, with the ability to manage competing priorities and work autonomously. A collaborative approach, attention to detail, and alignment with VPS values and behaviours are essential. This position offers the opportunity to contribute to the efficient delivery of divisional priorities and support the Executive Director in achieving strategic outcomes across Victoria’s precinct programs.Qualifications and experience
– Previous experience in state government working with a senior executive is desirable.
– Well-developed interpersonal and communication skills, including the ability to establish and maintain effective working relationships with internal and external stakeholders.
– Well-developed verbal and written communication skills, including use of the Microsoft suite of programs (e.g. Outlook, Word, PowerPoint, Excel).
– Experience supporting departmental governance process, including as secretariat, managing stakeholders correspondence (e.g. agendas, minutes, actions).
