Role 
The Business Manager leads the administrative, financial and human-resource operations of the whole school. The position undertakes tasks that impact the whole school and supports the principal in achieving strategic and operational goals across the school.
Direction on objectives and targets is provided, but the Business Manager has professional latitude in determining how they are achieved within DET policies and internal control procedures. 
Management of staff to achieve expected outcomes is a key responsibility, with significant influence over the school¿s administration, finance and human-resource functions.
Job Purpose
¿    The Business Manager is a vital member of the School Leadership Team who:
¿    Manages delivery of the school¿s budgetary, administrative and operational targets.
¿    Leads human-resource and workforce-planning processes.
¿    Provides strategic and operational advice to the Principal and Leadership Team.
¿    Oversees financial, governance, and compliance processes across the school.
¿    Contributes to policy development and continuous improvement in a multi-campus context.
All staff are expected to model the Child Safe Standards and uphold DET and School values in all professional interactions.

Responsibilities
1. Financial Management
¿    Manage the full school budget and deliver operational financial targets.
¿    Develop and implement financial policy, procedures and resource-allocation strategies.
¿    Oversee end-of-month reconciliations and end-of-year CASES21 processes.
¿    Approve orders and monitor budgets via eSchools.
¿    Coordinate DET financial audits and annual financial attestations.
¿    Manage the Student Resource Package, parent-payment procedures, and FBT returns.
¿    Ensure compliance with VMIA insurance, Defence Mentor financial reports, and all DET financial frameworks.
¿    Oversee accounts payable/receivable, camp and excursion costing, and short-term leave reimbursements.
 
2. Human Resources Management
¿    Administer WorkCover, local payroll, and performance & development processes for ES staff.
¿    Develop and maintain the SRP Planner for workforce planning and reporting.
 
3. Governance and School Council Support
¿    Prepare agendas, minutes, and reports for School Council and Finance Sub-Committee.
¿    Present finance reports and provide advice on policy development and compliance.
¿    Support School Council in ensuring transparent and accountable governance.
 
4. Communication and Information Management
¿    Ensure effective communication with staff, parents and community regarding school operations.
¿    Oversee preparation and distribution of school publications and information via Microsoft 365 tools.
¿    Maintain internal communications through EduMail and Compass.
 
5. School Systems and Operations
¿    Manage data and reporting through key platforms: CASES21, eduPay, Recruitment Online, SRP Planner, eduSafe Plus, eSchools, Compass.
¿    Implement process improvements that streamline administration across campuses.
¿    Maintain effective records and compliance documentation.
 
6. Planning and Organisation
¿    Manage priorities and workloads for administration teams.
¿    Modify work practices to meet changing operational needs.
¿    Provide training and guidance to administration staff to ensure consistent practice.
 
7. Occupational Health and Safety
¿    Promote a safe working environment for all staff and students.
¿    Conduct risk assessments and support Emergency Management planning.
¿    Ensure compliance with all DET OHS policies and procedures.
¿    Act as OH&S Nominee
 
8. Professional Development and Leadership
¿    Undertake relevant professional learning and remain current with DET policies.
¿    Facilitate regular administration team meetings and promote staff growth.
¿    Initiate new developments in policy and practice that improve efficiency.
 
9. Other Duties
¿    Manage the school canteen lease and other commercial arrangements.
¿    Oversee the buildings and facilities program of the school - including supervision of the Facilities Manager
¿    Provide strategic advice to the Principal and Leadership Team.
¿    Perform other duties as directed by the Principal.

Background
Aintree Primary School is located on 3.5 hectares of land at 11 Timbertop Parade, Aintree 3336 (Local Government Area of Melton). The school opened for enrolments in F-6 year levels in Term 1, 2021. The school has a current enrolment of 1350 which will continue to increase with growth expected over the next 4-5 years.
The school belongs to the successful Brimbank/Melton Network of Schools which includes two other new Government schools alongside well-established and thriving schools across primary, secondary, Specialist, P-9 and Senior Secondary.
There is a Children and Community Hub adjacent to the school which houses Kindergarten, Maternal and Child Health and community facilities. Together Aintree Primary School and the Hub can help local children make a smooth transition from pre-school and reduce the number of drop-offs for some parents with kinder and school-aged children.
