5. Regulatory Knowledge & Compliance - Comprehensive understanding of AQTF Essential Standards and current Skills First, funding contract requirements, ensuring adherence to best practices in vocational education and training.
The Department Coordinator plays a pivotal leadership role in the administration, compliance, staff support and operational delivery of programs at Ringwood Training. This position ensures high-quality student experiences, staff performance and adherence to regulatory and organisational standards.
Course and Student Administration
· Coordinate/oversee SBAT, Apprenticeship, VET and Short Course programs.
· Identify, plan and implement appropriate training and assessment strategies for qualifications on scope.
· Develop and maintain compliant learning and assessment resources aligned with relevant units of competency.
· Ensure staff and yourself result all training and assessment outcomes in aXcelerate as they occur, with a high level of accuracy and attention to detail.
Staff Management and Support
· Assist in the recruitment of staff, ensuring compliance with relevant regulatory standards and adhere to the staff code of conduct.
· Assist the Centre Manager in conducting staff performance reviews to maintain a positive, high-performance culture.
· Ensure that all staff contribute to and maintain the Continuous Improvement Register.
Assessment and Validation
· Ensure all assessments are conducted in line with the principles of fairness, flexibility, validity and reliability.
· Oversee validation processes in accordance with the validation schedule (pre- and post-assessment) and ensure appropriate documentation by all staff.
Governance and Audit
· Exercise authority to ensure compliance with the RTO Standards at all times.
· Ensure delivery and assessment of training programs are compliant with the TAS for each qualification.
· Maintain evidence of participation in line with Skills First funding requirements (e.g., trainer notes, attendance rolls, primary documents).
Occupational Health and Safety (OHS)
· Ensure compliance with all OHS requirements, including the correct and consistent use of personal protective equipment (PPE) by staff, students and themselves.
· Promote a culture of safety by monitoring workshop environments, identifying hazards and escalating OHS concerns in accordance with RTOs OHS policies.
Industry Engagement
· Ensure training and assessment practices are informed by meaningful and ongoing engagement with industry, employers and community stakeholders.
. Conduct formal industry engagement reviews at least annually.
· Involve industry stakeholders in reviewing resources and facilities.
· Review TAS, delivery plans and assessment tools based on industry feedback and identified trends.
Qualifications/Industry Experience
· Diploma Level or higher in Vocational Training.
. Certificate III in Automotive or equivalent.
· TAE40122 Certificate IV in Training and Assessment or equivalent or higher.
· Current industry experience, 10 years minimum.
. Extensive knowledge of student/learning management system eg. aXcelerate & electude.
· Working With Children Check (WWCC).
1. Provide effective leadership and coordination of your department to ensure the delivery of high-quality, industry-relevant training and assessment services.
2. Support student success by implementing inclusive practices, overseeing onboarding processes, and ensuring access to tailored learning support and wellbeing services.
3. Maintain compliance with all relevant RTO standards, Skills First contract obligations, and internal policies, including validation, continuous improvement and audit requirements.
4. Develop and manage operational processes, including staff timetabling, budget management, resource development and administrative functions to ensure smooth day-to-day operations.
5. Foster a collaborative team culture by supporting recruitment, induction, performance management and professional development for your departmental staff.
6. Strengthen industry relationships through ongoing engagement to inform current and future training delivery and maintain alignment with workforce needs.
7. Contribute to strategic planning and risk management by identifying emerging risks, proposing new course opportunities and supporting the development of business plans and delivery strategies.
8. Ensure the maintenance of OHS standards and PPE compliance for all staff, students and themselves, promoting a safe and hazard-free learning and working environment at all times.

Ringwood Training is a government school Registered Training Organisation (RTO), located on a dedicated campus at Ringwood Secondary College in the eastern suburbs of Melbourne.
