About the opportunity
The Board Secretariat is a collaborative high-performing team that plays a critical role in supporting effective governance at WorkSafe Victoria. We provide expert governance advice and operational support to the WorkSafe Board and Executive Leadership Team, helping ensure decisions are well-informed, transparent, and aligned with our legislative responsibilities. As Assistant Board Secretary, you will work closely with the Board Secretary to coordinate the operations of the Board, its committees and legislated stakeholder groups. This includes preparing meeting agendas and papers, capturing accurate minutes, and ensuring governance processes run smoothly and professionally.
This role is ideal for someone with a strong understanding of governance frameworks, excellent attention to detail, and a passion for supporting senior leaders in making impactful decisions. You'll also assist the Chair, Chief Executive (as required) and Board Secretary in ensuring the effective functioning of key Committees - including Finance & Audit, Risk, People & Culture, and IT – as well as the Occupational Health and Safety Advisory Committee and the WorkCover Advisory Committee. Key accountabilities:
- Supports the Board Secretary with strategic initiatives and the effective operation of the Board, its meetings, sub-committees and stakeholder committees, attending meetings as required.
- Provides advice and support to Committee Chairs and the Executive Leadership Team to ensure the smooth operation of the Risk, Finance and Audit, and Stakeholder Advisory Committees.
- Coordinates complex administrative functions, prepares and distributes meeting papers, attend and minute meetings, maintain forward planners and ensure members have the information they need to make informed decisions.
- Advises management of key outcomes and actions arising from Risk, Finance & Audit and Stakeholder Advisory Committee meetings and gives practical effect to the Committee's decisions.
- Ensures confidential briefs, papers and other documentation are accurate, high quality and distributed appropriately across the Secretariat, Board Committees and management.
About you
Ideally, you bring experience in governance and an organised, detail-focused approach to working with boards, senior leaders and committees. You will also have the following:
- Degree or higher qualification/s and demonstrated senior level experience in Governance, Policy or Management (desirable)
- Highly developed writing skills, including the ability to prepare concise summary documentation and minute.
- A collaborative mindset and a proactive approach to coaching and educating teams across the business to strengthen governance capability
- Knowledge of the relevant legislation addressing accountability and transparency, integrity and privacy as it applies to WorkSafe
- Demonstrated confidence in communicating with all levels of key stakeholders to a high standard
- Understanding of risk management, internal audit and compliance processes
- Analytical and conceptual skills including the ability to recognise emerging issues
- Proven ability to coordinate activities, prioritise issues and meet deadlines
- Previous experience and exposure to working with a Board will be highly regarded
