The Administration Assistant provides high-level, proactive and confidential executive support to the Director, Legislation, Policy and Information Services (LPIS), enabling effective leadership of a high-performing Division responsible for regulatory stewardship, strategic policy development, and national engagement.
- $84,066.00 per annum + 12% superannuation (pro rata for part time)
- Full time, fixed term opportunity until 30/06/2027 (open to 0.8 FTE)
- Wadawurrung/Geelong based role (hybrid work from home – 3 days a week in office)
About the opportunity
The Administration Assistant provides high-level, proactive and confidential executive support to the Director, Legislation, Policy and Information Services (LPIS), enabling effective leadership of a high-performing Division responsible for regulatory stewardship, strategic policy development, and national engagement.
This role plays a critical part in ensuring the Director and LPIS management team operate efficiently by leading divisional administrative workflows, coordinating complex stakeholder requirements, and supporting governance activities that underpin WorkSafe's legislative and policy functions.
Key accountabilities
- Provide high-level, confidential and strategically focused executive support
- Lead the coordination and delivery of comprehensive administrative support for the Director and LPIS management team, including preparing high-quality materials, briefs and presentations; providing end-to-end secretariat leadership for key stakeholder engagements; managing complex and competing diary demands with foresight and prioritisation; coordinating travel, logistics and meeting arrangements to enable effective engagement and execution of divisional responsibilities
- Lead the administration & governance processes that underpin divisional operations
- Support executive decision-making through high-quality reporting and documentation
- Draft authoritative and timely correspondence on behalf of senior leadership
- Maintain oversight of divisional records and critical tracking systems
- Drive continuous improvement and operational excellence
- Strengthen organisational relationships and influence
About you
You are an experienced administration professional who consistently delivers high-quality support to stakeholders. You demonstrate strong written and verbal communication skills, a high level of attention to detail, and excellent organisational and time management capabilities, enabling you to meet tight deadlines with minimal supervision.
- Demonstrated expertise in high level administration and strong coordination and planning skills
- You will be able to interpret, communicate and provide advice on administrative policies and procedures, to identify trends and anomalies, and resolve administrative issues
- Excellent time management, prioritisation and organisational skills as well as attention to detail skills
- Demonstrated initiative, tact and judgement in liaising with a diverse range of clients and stakeholders
- Experience in preparation of agendas, minutes, reports and presentations/ organising functions or team events/ diary management
- Intermediate/advanced computer skills in Word, Excel & PowerPoint
- Experience working in project environments with time pressures, resource constraints and rapidly changing priorities (desired)
