We are seeking an experienced and highly motivated Acting Business Manager to join our team. The position is available for an immediate start, with flexibility around the commencement date for the successful candidate.
The Business Manager reports directly to the Principal and provides leadership and oversight of the front office team, consisting of the Principal's Personal Assistant/Human Resources Manager, Finance Officers, Marketing and Communications Coordinator, Registrar/Student Records Assistant, and the Receptionist.
As a key member of the College Leadership Team, the Business Manager plays a strategic role in supporting the effective operation and long-term sustainability of the College. The position works closely with the Principal, Principal Class Team, and College Council, including active participation in the College Council Finance Subcommittee.
The Business Manager is responsible for the strategic and operational management of the College's financial, human, and physical resources. This includes leading and developing the Finance Team, ensuring effective financial management practices, and providing guidance, support, and professional development to staff within the business and finance functions.
The Business Manager provides expert advice to the Principal Class Team and College Council on financial planning, budgeting, resource allocation, risk management, and compliance matters. The role is integral to the development, implementation, and review of the College's financial policies, procedures, and strategic plans.
The Business Manager leads the College Finance Team to ensure all financial transactions and funds are accurately managed, monitored, and reported in accordance with Department of Education regulations, legislative requirements, and sound accounting practices. The role ensures robust financial controls are maintained and that the College¿s resources are managed efficiently and responsibly to support educational outcomes.
Finance
Manage the Financial operation of the school, including:
Preparation and maintenance of annual budgets and regular financial statements
Contribute to the financial decision making of the school.
Prepare funding submissions for the leadership team and school council.
Manage the accounting processes of the school and ensure that all funds are effectively accounted for according to DET regulations, optimise school funds by submitting grant proposals where possible, and manage school investments in accordance with school policy and procedures.
Ensure that all school-based procurement of goods and services are made in accordance with Department policy.
Provide advice to staff on spending against budget in respect to faculties, programs and other school projects.
Administer government grants and other school income.
Participate in the development and implementation of the school Annual Implementation Plan.
Employ `best practice¿ and ensure proper financial practices and internal controls are maintained at all times in line with DET regulations, including the management of the financial audit.
General Administration
Ensure the provision of a range of administrative support functions for the Principal and teaching staff.
Provide administrative support to external service providers as required.
Provide required level of administrative support for school events, functions and projects.
Manage and negotiate contracts with third party providers, ensuring agreements are in accordance with DET guidelines and all relevant public liability insurance certificates of currency are valid.
Human Resources
Working alongside the HR Manager to ensure that the following is carried out:
Manage recruitment and associated HR procedures.
Manage central and local payroll staff to ensure staff and paid accurately in line with Department payroll procedures and in accordance with the Victorian Schools Agreement and other state awards
Manage the Workers Compensation process for both central and local payroll staff including processing and management of claims including payroll related procedures and return to work coordination.
Provide authoritative advice to the leadership team on support structures and work practices.
Assist in the development of work practices that ensure appropriate occupational health and safety standards are maintained.
Manage procedures relating to employee relations issues.
Assist in the development of human resource planning.
Manage the SRP and the Workforce Planner, monitor fortnightly reports and participate in the implementation and further development of the school's workforce plan providing advice on recruitment policy and procedures for all school operations and services.
Manage School Resources
Asset Management. Effective management of the school's assets via the Department's new Asset Information Management system (AIMS).
Working alongside the College Facilities Manager, ensure the following is carried out:
Coordinate the use and maintenance of school buildings and equipment.
Where relevant, liaise and negotiate with service providers in respect to the cost and quality of services.
Supervise the delivery of contracted services.
Manage the development and collection of resource material at the school.
Support School Council
Draft reports and make recommendations on operational issues.
Attendance at College Council Meetings, including the College Council Finance Sub Committee
Evaluate and report on the operational efficiency of computer systems in production, making recommendations for improvement where appropriate.
Develop techniques and procedures that will affect work practices beyond the workplace.
Manage a technical program with a broad scope across the school.
Manage the support functions within the school's Finance department ensuring efficient workflow.
Leadership of Others
Manage the work practices, priorities, performance and development of staff reporting to the role.
Conduct regular team meetings and actively support finance, human resource and administration staff reporting to the role leading to reflect upon and improve their professional practice.
Any other duties as directed by the Principal.
